How to Get Your Professional Services Firm Cited by ChatGPT

Updated June 2026 · Axenor Consulting

A guide for accounting, law, fiduciary and financial advisory firms. Updated June 2026.

Professional services firms get cited by ChatGPT by building three layers of AI-visibility infrastructure: structured content with Direct Answer Blocks and FAQ sections, consistent entity signals across every platform the firm appears on, and independent mentions from sources the firm does not control. A firm that builds all three over 3 to 6 months appears in AI answers for queries in its category. A firm with only traditional SEO does not, regardless of its Google ranking.

The professional services buyer journey has a new first step. Before a prospective client calls a firm, checks LinkedIn, or asks for a referral, a large share of buyers now ask an AI engine: "who are the best [service type] firms for [problem]?" Forrester's 2026 Buyers' Journey Survey of 18,000 business buyers found that 94% now use AI in the purchase process, up from 89% a year earlier, and that generative AI has become the leading source of vendor research, ranking above vendor websites, product experts, and sales reps.

The shortlist formed in those AI conversations is the shortlist that matters. A firm absent from the answer is not in consideration, and never learns it was in the running. The firms that appear are not always the largest or longest-established. They are the best-structured. Structure is the one variable a firm can change this quarter.

Why are professional services firms particularly at risk?

The exposure is sharpest in corporate services, where buyers are typically international, time-pressured, and leaning on AI for first-pass research. A Dubai-based entrepreneur setting up a Cyprus holding company is more likely to open ChatGPT than to run a Google search. A UK investor weighing fiduciary options in the EU runs several AI queries before any direct contact.

The problem is structural, not reputational. Established firms have invested in traditional SEO: Google rankings, a professional website, a LinkedIn presence. Those are necessary and no longer sufficient, because AI engines and Google select sources on different criteria. In 2025 the share of Google AI Overview citations that also ranked in Google's own top 10 fell from 76% to 38% in a single year (Ahrefs). Ranking well no longer predicts being cited. A firm can dominate Google and be absent from AI answers at the same time.

The window is open because almost nobody local has moved. Axenor spot-checked 10 Cyprus corporate-services firms in June 2026: seven had no proper structured data on their sites, none had a Wikidata or Wikipedia entity, and not one had FAQ markup. These were credible firms doing real work, invisible to AI answers not because they lack quality, but because an engine cannot read them.

What is the three-layer AI citation framework?

Getting a firm cited by AI engines means building three interconnected layers of infrastructure: structured content, entity signals, and independent citations. Each is described below.

Layer 1: How do you structure content so AI engines can cite it?

AI engines extract answers from structured content. For professional services firms, three additions carry the heaviest weight.

Direct Answer Blocks on every key page. A Direct Answer Block is a 30 to 80 word passage at the top of a page that completely answers the core question the page targets and stands alone as a coherent extract, the kind of passage an engine can lift and present as the answer. For an accounting firm, a homepage block might read: "The firm provides audit, tax advisory, and corporate accounting to SMEs and international companies based in Cyprus, specialising in VAT compliance, corporate tax structuring for Cyprus holding companies, and statutory audit for regulated entities, in English, Greek and Russian." Without it, the engine must infer the description from marketing copy, which introduces uncertainty.

FAQ sections on service pages. The questions clients actually ask - "What does a Cyprus company formation cost?", "How long does a Cyprus audit take?", "What is the difference between a fiduciary and a trustee?" - are the same queries AI engines receive. A firm that answers them directly, in FAQ format, is cited when those questions are asked.

Question-formatted headings. H2 and H3 headings written as the questions buyers ask ("What do corporate service providers in Cyprus do?" rather than "Our Services") tell an engine exactly which query each section answers.

Layer 2: What entity signals does an AI engine need to recognise your firm?

An engine's confidence in recommending a firm tracks how clearly it understands the firm as an entity: a consistent, recognisable business with a confirmed identity.

NAP consistency. Name, address, and phone number must be identical everywhere the firm appears: website, Google Business Profile, LinkedIn, directories, regulatory records. Inconsistency creates ambiguity, and ambiguity lowers citation confidence.

Google Business Profile completeness. A complete, recently updated profile (description, services, hours, photos, Q&A) is one of the strongest direct entity signals available. Firms with outdated or partial profiles are harder to characterise.

Professional body listings. For accounting firms, ICPAC directory entries. For law firms, Cyprus Bar Association listings. For fiduciaries and independent administrative service providers, the CySEC register. These are high-authority, third-party confirmations of identity and professional status, exactly the independent signal engines weight heavily.

LinkedIn company page alignment. The firm's LinkedIn description, services, and specialities must match the website. Engines cross-reference these sources, and any mismatch creates entity uncertainty. In Axenor's June audit, none of the 10 firms had a Wikidata or Wikipedia entity - the clearest entity anchor an engine can use, and the one nobody had built.

Layer 3: Why do independent citations beat your own content?

The strongest signal for AI citation is independent mentions from sources the firm does not control. This is the AEO equivalent of backlinks, with one difference: engines weight brand mentions more heavily than links. Ahrefs research across 75,000 brands in 2025 found brand mentions correlate with AI visibility about three times more strongly than backlinks. A firm does not need a link from a major publication; it needs the publication to mention the firm's name in the right context.

For Cyprus professional services firms, independent citation sources that carry AI weight include:

  • Established business publications covering Cyprus corporate services (Cyprus Mail Business, Financial Mirror, In Business)
  • Professional directories indexed by AI engines (ACCA, ICAEW, CISI listings where eligible)
  • Client-facing company-formation guides that name specific advisers
  • Industry conference speaker bios and event coverage
  • Research or academic citations in specialist areas

One mention in an established publication indexed by AI engines carries more weight than 6 months of social posts. Engines are built on text corpora, and they trust the sources they were trained on and retrieve from.

What does the 90-day implementation plan look like?

Weeks 1 to 4 - content foundation. Start with the highest-traffic pages: homepage, main service pages, and the top three guides. For each page, add a Direct Answer Block as the first paragraph, reformat H2/H3 headings as questions, add an FAQ section of 5 to 8 questions with clear answers, and implement FAQPage schema. Install Organization schema on the homepage and About page if it is not already there, and add Article schema to guides. Budget 2 to 3 hours per page for content and 1 to 2 hours total for schema with developer support.

Weeks 5 to 8 - entity consolidation. Audit every directory and platform listing for NAP consistency and correct any variation in name, address format, or phone number. Refresh the Google Business Profile: update the description, add all service attributes, answer open questions, and upload 5 to 10 photos with descriptive filenames. Identify 3 to 5 professional directories where the firm should hold complete, accurate listings, and bring each entry current. Create a Wikidata entry where references support it; the bar is verifiable sources, not fame.

Weeks 9 to 12 - independent citation building. Identify 3 to 5 realistic opportunities for a press mention or publication feature this quarter: a comment in a Cyprus business publication, expert insight for a feature on company-formation trends, a profile in a directory that publishes firm entries, or a speaking slot at an indexed industry event. One concrete independent citation per quarter is enough to build AI visibility progressively.

Ongoing - monthly AI-visibility audit. Run these prompts each month in ChatGPT, Perplexity, and Gemini: "Best corporate service providers in Cyprus", "Leading accounting firms in Limassol", "What does [firm name] specialise in?", and "Top fiduciary companies in Cyprus". Track whether the firm appears, how accurately it is described, and which competitors show up to learn from structurally.

Frequently asked questions

How long does it take for a professional services firm to appear in ChatGPT answers? Structural changes - Direct Answer Blocks, FAQ sections, schema - can begin affecting citations within 4 to 6 weeks. Entity building and independent citation work take 3 to 6 months for consistent, measurable impact.

Do we need to rank in Google's top 10 to be cited by ChatGPT? No. The two channels select sources differently, and the link between them is weakening: the share of Google AI Overview citations that also ranked in Google's top 10 fell from 76% to 38% in a year (Ahrefs, 2025). ChatGPT and Perplexity use their own retrieval, where Google rank matters little. A firm can be absent from AI answers despite strong Google rankings, and the reverse.

How much does AI citation optimisation cost? The content and structural work can be done by an in-house marketing team or content writer with guidance. Schema markup needs brief developer involvement. Independent citation building is primarily PR and relationship work. Total cost depends on firm size and existing infrastructure.

Should we optimise for every AI engine or focus on one? Focus on the underlying principles, not the platforms. ChatGPT, Gemini, Perplexity, and Claude use similar selection criteria - structured content, entity clarity, and independent mentions - so optimising for those benefits all of them at once.

Can a small firm compete with larger established ones in AI search? Yes. Engines weight structural data quality over brand size or revenue. A smaller firm with complete FAQ sections, clear entity signals, and a few independent citations can appear ahead of a larger firm with a static website and inconsistent entity data.

What is the biggest mistake firms make with AEO? Treating it as an SEO extension rather than a separate infrastructure project. The common error is adding keywords to existing pages without restructuring them around Direct Answer Blocks and FAQ architecture. The content has to be built to be extracted, not only to rank.
